We have created this privacy policy for people visiting the website https://soppocosmetics.com (hereinafter “Website”), namely the Söppö online store (hereinafter “Store”).

The administrator of your personal data in connection with the use of the Store is: Cyrulicy Sp. z o o. with its registered office at: Mariacka 37, 40-014 Katowice, entered into the register of entrepreneurs of the National Court Register under KRS number: 904-405, NIP: 6-342-997-494, REGON: 389106398

1. COOKIES AND OTHER TECHNOLOGIES

We use cookies and other similar mechanisms to learn how users use our Website and for marketing purposes, including to display advertisements to them in other places on the Internet.

What are cookies?

A cookie is a small text file saved by a website on your computer, phone, or other device on which you browse the website. A cookie contains data about the use by you of that site.

Some cookies are necessary for the operation of our Store and cannot be disabled.
In other cases, when you first enter our Website, we ask you for your consent to the installation of cookies. We do not use advertising or analytical cookies (or any others than necessary ones) without your consent.

What cookies do we use?

  1. Necessary cookies
    • These cookies serve the proper operation of the site. You cannot disable them because after disabling them our site simply will not work properly.
    • In this regard, we use a tool that stores your privacy settings. It shows your consent or lack thereof for running individual types of cookies on our site.
    • Other necessary cookies on our Website serve its proper functioning and its management, including making changes to the site and running tracking tools to which you consent.
  2. Statistical analyses of our Website
    • We use tools that collect analytical data, thanks to which we can understand how users use our Website. The data we receive from these tools do not give us information about a specific person known by first and last name, but allow us to record various aspects of the use of the Website by a given user. We can aggregate and analyze this data statistically, and then use it to make decisions about changes in our Store and/or in the ways of conducting our advertising and marketing communications.

  3. Advertising cookies
    • We use advertising tools through which we can display our advertisements on other sites you visit, including social media (so-called targeted ads), measure the effectiveness of our advertising campaigns, and tailor the content of our messages addressed to you to the information we have about you.
    • In the Store, we enable signing up for our newsletter. In connection with this, cookies are used to embed a subscription form on our Website and measure the effectiveness of sign-ups in this form. Modern e-mail marketing systems give us the possibility to combine analytical data from mailing campaigns with analytical data from the Store. We can use this data to optimize the content of messages sent to newsletter subscribers.

  4. Functional cookies
    • Some cookies on our site serve to launch on the Store's site an additional tool, such as e.g. chat, a module for adding opinions about a product and/or stars, the possibility of recommending a product to a friend, the possibility of displaying the products you recently viewed in our Store, etc.
    • The list of functional tools we use on the Website along with an explanation of what exactly they are used for can be found in the cookie consent management panel.
  5. Plugins and links to social media
    • In the Store we use social plugins that enable, for example, sharing a product from our Store on your profile / liking our product on Facebook, saving graphics from our Website on your account on Pinterest. The use of such plugins involves transferring information from cookies to the owners of these social media sites:
      • the service provider will receive information that your browser has displayed our Website, even if you are not logged into the given social network, or even do not have a profile in it;
      • if before visiting our Store you logged into one of the above social networks, its owner will be able to directly attribute the visit to our Website to your profile in the given service.
    • If you do not want social networking sites to attribute data collected during your visit to the Store to your social media profile, before visiting our Website log out of these services. You can also completely prevent social plugins from loading on our Website by selecting the appropriate settings in the cookie consent management panel.
  6. Videos
    • Some videos on the Website are embedded using plugins from the YouTube service [a service owned by Google]. When you play such a video on our Site, Google receives information about it from your browser, even if you do not have a Google/YouTube profile, or are not currently logged in. If you have previously logged into the above service, this service provider will be able to directly attribute the video playback to your profile.
    • If you want to prevent Google from collecting information about your activity on our Site, you can:
      • not play the video (we will treat the consent to play the video as consent also regarding other videos on our Website – until you revoke it, i.e. change your cookie choices),
      • not consent to cookies from this service on our Website,
      • or you can log out of this service.

Legal issues regarding cookies

The legal basis for using necessary cookies by the Store (indicated above in the section “What cookies do we use?”) is our legitimate interest, i.e. the right to run a Website supporting our business, and the necessity to maintain its security.
The legal basis for our use of other cookies is your consent.

In connection with our processing of your personal data using cookies, you have the rights at any time that we write about in the section Your rights in connection with data processing.

Our use of cookies, in particular for advertising purposes, may involve so-called profiling. This means that we or marketing companies whose services we use may create a user profile based on collected information (e.g. e-mail address, order history, type of device, applied technology, frequency of visits) and on this basis formulate purchase forecasts for the future. This allows us to make decisions about what content (including advertisements) to display on our and other websites.

How long do cookies stay on the user's device?

It depends on whether they are “persistent” or “session” cookies. Session cookies, i.e. information necessary for the browser functionalities to work properly, expire after the end of the user's session, that is, each time you close our Site. Persistent cookies, thanks to which using the site is easier (e.g. they remember the selected resolution, content layout, user preferences, recently viewed products) will be stored longer by the browser and will remain there until the expiry date, unless you delete them yourself earlier using the settings in the browser menu.

Cookies of external entities (i.e. analytical, advertising, and related to social media) are subject to their own privacy policies, to which we provide you with links in this policy.

2. Other purposes of processing personal data of Store users

What data do we process and for what purposes?

In addition to the cookies described above, we process your following data for the following purposes related to the functioning of the Store:

Providing the above data by you is not mandatory, however it is necessary to fulfill your order, issue you an invoice, notify you of the order status, respond to your inquiry or complaint, etc.

The collection of data for the purposes of performing accounting and tax obligations, as well as the transfer of data to the National e-Invoice System (KSeF) takes place only to the extent required by legal regulations and does not require separate consent from the Store customer.

How long do we process data?

We process your data related to placing an order in the Store for as long as it is necessary to fulfill the order, and also until the expiry of the period specified in the tax law regulations.

Structured invoices sent to KSeF are stored in KSeF for a period of 10 years, counting from the end of the year in which they were issued.

In addition, we will process the data for the time necessary to achieve the goals listed above in the table (and thus until our legal interest allowing us to process ceases, or until you object to the processing, or possibly until you withdraw your marketing consent – if you granted us one). Further processing will be possible only if we as the administrator are bound by such a legal obligation (in particular for tax purposes) and possibly for archival purposes to protect against potential claims (until the statute of limitations for such claims).

To whom do we transfer your data?

In our activity we use the services of other cooperating companies, therefore your data may be entrusted by us to: the company providing us with the software for running the Store, the accounting company, the hosting provider of our Website, the hosting provider of our e-mail, the provider of the e-mail marketing system, other companies whose services and marketing tools we use. Your data is also transferred to courier companies and possibly payment intermediaries for the purpose of fulfilling your order, whereas these companies are separate personal data administrators.

To the extent that tax law regulations require the issuance of a VAT invoice, the information contained in VAT invoices is transferred to the National e-Invoice System (KSeF), administered by the National Revenue Administration. Access to VAT invoices in KSeF is granted to entities entitled on the basis of legal regulations, in particular to the organs of the National Revenue Administration. In connection with using KSeF, we can grant permissions to use KSeF (in particular to view/receive invoices) to entities supporting us in the implementation of accounting obligations, e.g. an accounting office, in accordance with the rules for granting permissions in KSeF.

We participate in a customer satisfaction survey / customer feedback program. If you agree to be covered by such a survey, your data will be made available to the organizer of the customer satisfaction survey system. This entity is a separate administrator of your personal data.

For the purposes of the marketing activities described above in the “Cookies” section, we use services provided by entities based in the USA (Google, Facebook). In connection with the above, personal data may be transferred to third countries that are not members of the European Union. The appropriate level of protection of your data is ensured by the Data Privacy Framework program, about which you can read more at https://www.dataprivacyframework.gov/s/.

Your rights in connection with data processing

We undertake to respect the confidentiality of your personal data and to guarantee you the possibility of exercising your rights. You can exercise your rights without incurring any costs by sending us an e-mail message or contacting us in another way.

Remember that in connection with the processing of your data you have the right to:

  • request access from Us to the data we hold regarding your person;
  • rectify your data;
  • delete your data if they are no longer needed for the purposes for which they were processed, or we do not have another legal basis for their processing;
  • withdraw consent for the processing of your personal data, if you granted one;
  • object to the processing of your data if we process it on the basis of a legally justified interest;
  • restrict data processing;
  • file a complaint with the President of the Personal Data Protection Office if you believe that your data is processed by us unlawfully.

Additional information for newsletter subscribers

If you signed up for our newsletter, we will send you marketing information regarding our products and/or services, e.g. about news in our offer, promotions, or special offers.

You can unsubscribe at any time by clicking the link found in each newsletter or simply by writing us a message.

A modern e-mail marketing system allows analyzing recipients' activities, i.e. it provides us with information, whether a given message has been opened by you. We analyze such information to better adapt the content of the newsletter and notifications to your interests and send you personalized messages (profiling). At any time you can object to such processing of your data by us. In case of lack of subscriber activity for 1 year we can stop sending the newsletter to them. In such a case we will remove you from our list of subscribers (with additional advance notice).

Your data is not used by us to make decisions based on automated data processing that could affect your legal situation or cause for you other similarly significant effects.

APPENDIX NO. 1 TO THE STORE PRIVACY POLICY Söppö
- LIST OF ADVERTISING AND ANALYTICAL TOOLS USING COOKIES

  1. ANALYTICAL COOKIES:
    1. We use Google Analytics
      • The information that Google Analytics collects about users is, e.g.: how many times a user visits the site; which subpages they visit; the date of the first and last visit; the duration of the visit; the page from which the user visited the site (acquisition source); the browser the user uses; the link that was clicked; the place in the world from which the user accesses, anonymized (shortened) IP address, etc.
      • Google assigns individual users its own identifier (so-called Google ID) and collects on its servers data obtained from cookies from various websites. We – as the owner of the Website – can receive from Google reports (statistics) related exclusively to traffic on our Website. These reports obviously include only people who have expressed on our Website consent for their visits to be recorded by Google Analytics.

    2. Cookies of our Store's software provider
      • The software provider thanks to which our Store functions - i.e. the owner of the shoper.pl platform - places cookies on our Website in order to collect collective information about how customers use online stores (opened subpages and time spent on them, displayed products, clicks on the Store page, analytical information regarding purchases, e.g. conversion rates).
      • This data is used to create collective reports for e-shop owners, containing general (without personal data) information, among others, about what products interest customers of a given store, in what period of the year there is increased traffic or sales in stores, etc. Thanks to this sellers (including us) can improve their stores and optimize sales processes.

  2. ADVERTISING COOKIES
    1. We use Google Ads and other Google advertising tools
      • Google collects on its servers data obtained from placed on your device cookies files. This data is collected on all pages where you allowed the use of cookies for advertising purposes by Google (including on our Website), and also from advertisements in which you clicked. Google uses this information to display advertisements on other visited by you pages. Usually, cookies originating from Google expire after 3 months.
      • We as advertisers using Google services do not have access to data from cookies saved on your device, but we can commission advertisements to target groups with features selected by us features, e.g. to all people who visited our website (or its specific subpage) within within the last 7 days. This data constitutes only statistical material for us, and we commission advertisements only on the basis of collective criteria (to specified target groups, and not to a specific user).
      • We may also use (as part of using Google Marketing Platform) tools enabling measuring the effectiveness of advertising campaigns (e.g. how many people clicked on a given advertisement in a specific time).

    2. Meta conversion pixel (Facebook and Instagram)
      • We use the so-called “conversion pixel” (remarketing pixel) from Meta in order to manage advertisements on portals Facebook and Instagram.
      • If you consent to the use of this cookie on our Website, then through this tool Meta Platforms services obtain information that you visited our Website. This information is assigned to your profile in the given service, if you have it. If you are not a user of these services, then the information is assigned to a created for you so-called “Facebook ID”.
      • Thanks to this we can commission on the Facebook and Instagram portal advertisements to those people, who already visited our Website or its individual subpages (remarketing). Then we receive from the Meta Platforms company only statistical data regarding the effectiveness of advertisements (e.g. how many people saw our advertisement, how many people clicked on it), without reference to specific users.

    3. E-mail marketing
      • For newsletter purposes we use a tool provided to us by an external company.
      • The e-mail marketing system embeds cookies on our Site used for displaying subscription forms and for measuring the effectiveness of these forms (conversion rate).
